FAQs
What are document templates in QuoteCloud?
Document templates in QuoteCloud are reusable, pre‑formatted files you save and re‑use to create consistent, professional client‑facing materials quickly. Templates standardize branding, layout, legal text and common content so every quote, proposal or agreement matches your company’s style and compliance needs.
When used inside QuoteCloud’s sales quoting software and sales proposal software, templates speed up document creation, reduce mistakes and ensure a consistent customer experience across your team.
How do I create a new document template in QuoteCloud?
Open the Templates area in QuoteCloud and click Create Template. You can start from a blank template or choose an industry‑specific example to customize. Use the interactive document builder to add text blocks, branding (logo and colors), placeholders (merge fields), pricing tables and any supported elements.
When you finish designing the layout and settings, save the template so it’s available when generating documents in the quote software or proposal software.
What are merge fields (placeholders) and how do I use them?
Merge fields (placeholders) are tokens you place inside a template that automatically populate with dynamic data—like customer name, address, quote number, line items, totals or custom fields—when you generate a document. Insert placeholders while building a template so the proposal software or quote software fills in client‑specific details at generation time.
Always test templates with sample data to confirm fields map correctly and that formatting remains intact before sending documents to clients.
Where can I find industry‑specific templates or starter examples?
QuoteCloud provides a library of industry‑specific templates and starter examples inside the Templates area. Choose a starter template for your vertical (for example, architecture, engineering, or services) and customize it to include your branding, scope language and pricing format.
Starter templates are a fast way to adopt best practices for proposals and quotes while using QuoteCloud as your sales quoting software or sales proposal software.
How can I manage existing document templates (edit, duplicate, delete)?
Open the Templates list in QuoteCloud to view all saved templates. From each template’s options you can open it to edit, duplicate it to create a variant, or delete templates you no longer need. Use duplication to create multiple versions (e.g., regional terms or product‑specific layouts) without rebuilding from scratch.
Consider using naming conventions and access permissions so your team uses the correct templates and maintains version control across the quote software and proposal software workflows.
How do I use a template when generating a quote or proposal?
When creating a new document from a quote or opportunity, select the saved template you want to apply. The quote software or proposal software will merge live data into the template (customer info, line items, totals, custom fields) and generate a ready‑to‑send document.
Preview the generated document, run a quick test with sample data, then send or e‑sign the final proposal. Using templates ensures faster turnaround and consistent branding on every client document.
What formatting and content elements can I add in the interactive document builder?
The interactive document builder supports text blocks, logos and color themes, pricing tables, line‑item details, legal sections, merge fields, and multimedia elements where supported. Advanced tools can include AI‑generated text, embedded spreadsheets or videos, animated GIFs and interactive smart pricing tables to let clients select options.
These options let you create rich, on‑brand documents that improve clarity and shorten negotiation time in both your quote software and proposal software workflows.
Do templates support integrations and automated workflows (for example QuickBooks or e‑signatures)?
Yes—templates generated in QuoteCloud work with the platform’s integrations and automation features. Generate invoices, sync customer and transaction data with accounting tools like QuickBooks, and send documents for e‑signature without re‑entering information.
Using templates alongside integrations reduces manual work, improves accuracy and speeds up your sales-to-cash process when using QuoteCloud as your quote software and proposal software.
