FAQs
What is the purpose of the "Edit, Duplicate & Delete Existing Document Templates" guide?
This guide explains how to edit, duplicate and delete Sales Quote document templates in QuoteCloud so users can manage templates effectively, keep quotes up-to-date, and maintain a well‑organised library of branded documents.
It’s designed to help teams using sales quoting software and sales proposal software maintain consistent, professional proposals and quotes.
How do I access this guide on QuoteCloud?
Open the QuoteCloud User Guide on the QuoteCloud website and navigate to the topic titled "Edit, Duplicate & Delete Existing Document Templates."
The topic page includes a short video at the top that demonstrates the workflow for editing, duplicating and deleting templates.
What specific actions are covered in this topic?
The topic covers three core template‑management actions: editing an existing template, duplicating a template to create a variant or new version, and deleting templates that are no longer needed.
Each action includes step‑by‑step instructions and notes about confirmation prompts where applicable to help you manage your quote software templates safely.
Is there a video tutorial included and what does it show?
Yes. A short video sits at the top of the topic page and provides a visual walkthrough of the QuoteCloud interface, showing how to edit templates, create duplicates, and delete templates safely.
The video is helpful if you prefer to follow along visually rather than reading the written steps when using your sales quoting software or proposal software.
Why is it useful to duplicate a template instead of editing the original?
Duplicating creates a new version based on the original so you can make changes without altering the source template. This is ideal for testing layout or content changes, producing tailored quotes or proposals, and preserving a working master file.
Use duplicates to experiment with branding, pricing tables, or alternate wording while keeping the original template intact for fast, consistent quoting.
What happens when I delete a template and are there confirmation prompts?
Deleting a template typically requires a confirmation prompt so you don’t remove templates accidentally. The topic notes where confirmation steps appear and advises caution before deleting items from your template library.
If you’re unsure, duplicate the template first or follow your organisation’s template‑retention practice (for example, archiving or renaming) before permanently removing it.
Who can edit, duplicate or delete document templates in QuoteCloud?
Template management actions are available to users who have the appropriate permissions in your QuoteCloud account—commonly admins or users assigned template‑editing rights. Check your account or organisation settings to confirm who can modify the company templates used for quotes and proposals.
What are best practices for managing document templates in sales quoting and proposal software?
Keep a clear naming and versioning convention, duplicate templates to test changes, archive or retire outdated templates, and document who is responsible for template updates. These steps help maintain consistent branding and reduce errors when generating customer quotes.
Also leverage QuoteCloud’s branded templates and interactive elements (such as embedded media and smart pricing tables) thoughtfully to improve client engagement without making templates difficult to maintain.
