FAQs
What is a workflow from template in QuoteCloud?
A workflow from template in QuoteCloud is a new workflow instance built from a predefined configuration that includes steps, participant roles, triggers, notifications, and automated actions. Templates let you reuse proven processes—such as quote approvals or proposal reviews—so you can deploy repeatable procedures quickly without building each workflow from scratch.
Who should use a workflow template?
Teams and users who need consistent, repeatable processes should use workflow templates. Common users include sales teams, operations, finance, and legal groups. Sales teams using sales quoting software or sales proposal software benefit especially because templates standardize how quotes and proposals are reviewed, approved, and issued.
What prerequisites do I need before creating a workflow from a template?
Before creating a workflow from a template, confirm you have an account with permissions to create or manage workflows and access to the template library or shared custom templates. Also ensure required participants (users or groups), related documents, and any integrations (for example accounting or CRM connections) are set up in your workspace. Check your workspace settings for exact permission and setup details.
What are the high-level steps to create a new workflow from a template?
To create a workflow from a template: choose a template from the library, review its predefined steps and settings, update configurable fields (workflow name, participants, due dates, notifications, and data mappings), save the new workflow instance, and activate or start it when ready. The platform saves the template structure so you can reuse and adapt it across projects or teams.
Can I modify a workflow after creating it from a template?
Yes. After creating a workflow from a template you can adjust most configurable fields—such as participants, deadlines, notifications, and certain step logic—to fit the specific case. Note that some core template elements may be locked depending on permissions or organizational policies; if you need broader changes, update the template or ask an admin to adjust template-level settings.
How do workflow templates help teams using quote software or proposal software?
Workflow templates accelerate and standardize processes for teams using quote software or proposal software by embedding approval chains, notification rules, and automated actions into a reusable package. This reduces manual steps, lowers approval times, ensures compliance with internal rules, and improves the consistency and quality of sales quotes and proposals.
Where do I find and manage workflow templates in QuoteCloud?
Templates live in the workspace template library or in a shared templates area. To find and manage them, open the workflows or templates section in your QuoteCloud workspace, filter or search the library for relevant templates, preview template details, and use management actions (copy, edit, share, or delete) according to your permissions. If you can’t see templates, request access from an admin.
What are best practices when creating or using workflow templates?
Best practices include starting with a proven process, keeping templates focused and modular, documenting participant roles and escalation rules, testing a template with a pilot case before wide rollout, and periodically reviewing templates to reflect process or system changes. For sales teams, align template steps with your quoting and proposal stages to get the most value from your sales quoting software and sales proposal software workflows.
