Add a Node
This guide shows you how to add a node in a QuoteCloud workflow, allowing you to customise approval paths and manage your document processes effectively.
Steps to add a workflow node
Add a new workflow step
In the workflow editor, click the black node labelled Add Step beneath the workflow trigger block.Choose the Approval node type
From the dropdown list of workflow actions, select Approval .Configure approval outcomes
The workflow will automatically create separate paths for both approved and rejected outcomes.Configure the approved action
Under the Approved branch, click Add a step and select Ready to Send .Configure the rejected action
Under the Rejected branch, click Add a step and select Reject to Send .Save the workflow changes
Click Save to apply the workflow configuration changes.Configure the creator role
If the workflow configuration is incomplete, click Configure the creator role here inside the trigger block.Add trigger conditions
In the Edit Trigger panel, click the condition selector to configure which users or roles can trigger the workflow.Select the user role
Choose the required user role from the dropdown list. In this example, the Admin role is selected.Apply the trigger configuration
Click Apply to confirm the trigger conditions and workflow permissions.Finalise the workflow setup
Click Save one final time to complete the workflow node setup.
FAQs
What is a "node" in a workflow?
A node is a single step or element on the workflow canvas that represents an action, decision, wait, or other discrete part of a process. In QuoteCloud, nodes define the sequence and logic that moves quotes, proposals, invoices or tasks through your approval and document workflows.
How do I add a node to a workflow in QuoteCloud?
Open the workflow editor and use the canvas controls (usually a '+' or Add Node control) to place a new node. After placing it, choose the node type, complete the configuration form (name, settings and any required fields) and save the node so it appears on the canvas and is available to be connected to other steps.
What configuration is typically required when adding a node?
Typical configuration includes a node name, node-specific options (action details or integration settings), decision conditions, assigned users or roles, and timing parameters such as waits or timeouts. For nodes that affect documents, you may also define which quote or proposal templates the node applies to.
How do I connect the new node to the rest of the workflow?
After adding and saving a node, connect it by drawing or creating a link between its connector point and existing nodes — usually by dragging from a connector or using the editor's connection tool. That link defines the flow from one node to the next and any conditional logic between them (for example, approve → send invoice).
What node types should I expect to choose from?
Common node types include action nodes (perform an operation), condition/decision nodes (branch based on rules), wait/timer nodes (pause until a condition or timeout) and integration/event nodes (trigger external actions). The exact types available depend on your QuoteCloud environment and workflow engine.
Are there permission or role requirements to add or modify nodes?
Yes. Adding or modifying nodes usually requires appropriate permissions or a workflow administrator/editor role. This ensures only authorized users can change approval paths or automation that affect quotes and proposal software processes.
How can I test or validate a new node before putting it into production?
Use a draft or staging workflow if available, run test records through the flow, and verify conditional branches, assigned users, and timing behavior. Check activity logs or debug output and use versioning or change history so you can roll back if necessary.
Can I add nodes to active workflows and how do I publish changes?
Many workflows support editing in draft mode and then publishing changes. Save new nodes to the workflow draft, test them, and publish or activate the updated workflow to make changes live. Follow your organisation’s change-control process to avoid interrupting active quote or proposal software processes.
How do nodes in QuoteCloud integrate with accounting and document generation tools?
Integration or event node types can trigger external actions such as syncing invoices to accounting systems (for example QuickBooks Online) or launching document generation and delivery. Use integration node settings to map fields and control when external actions run within your sales quoting software and proposal software workflows.
