FAQs
What is a workflow trigger in QuoteCloud?
A workflow trigger in QuoteCloud is the event or condition that automatically starts a workflow. When trigger conditions are met, QuoteCloud runs workflow actions such as routing a document for approval, sending notifications, updating record fields, or kicking off integrations so your document approval and automation processes occur without manual intervention.
Where do I configure a workflow trigger in QuoteCloud?
Configure triggers inside the workflow editor for the specific workflow you want to automate. Open the workflow, go to the trigger configuration section, choose the trigger type, add filters or conditions, and enable any available scheduling or delay options. Use the editor controls to preview, test, and save your trigger settings.
What trigger types does QuoteCloud support and how do I choose the right one?
QuoteCloud supports common trigger types including record-created, record-updated, user-action triggers, and time-based triggers. Choose a record-created trigger when a new quote or proposal should start a process, use record-updated triggers for approval steps tied to status changes, user-action triggers for manual approvals or sign-offs, and time-based triggers for scheduled reminders or periodic reports. Match the trigger to your business flow and use-case, for example using record-updated triggers for sales quoting software workflows that depend on status or amount changes.
How do I add conditions or filters so a trigger runs only for specific records?
When setting up a trigger in the workflow editor, add one or more conditions that evaluate fields such as status, total amount, customer type, or user attributes. Combine conditions with AND/OR logic to precisely target which records will start the workflow (for example: Status = "Pending Approval" AND Total > 5000). Filters reduce unintended runs and keep automation focused on the records that matter for your quote software or proposal software processes.
Can I schedule or delay a trigger in QuoteCloud?
Yes. QuoteCloud offers scheduling and delay options for supported trigger types so you can run workflows at a later time or on a regular cadence. Use time-based triggers to send scheduled reminders, escalate overdue approvals, or generate periodic reports. When available, configure delay settings in the trigger editor to postpone actions for a defined interval after the trigger condition is met.
How can workflow triggers improve processes for sales quoting software and sales proposal software?
Triggers automate repetitive steps in sales quoting and proposal workflows—routing quotes for approval, sending client notifications, updating status fields, and generating invoices—so teams move faster and make fewer manual errors. For example, a record-updated trigger can automatically route a quote to finance when status changes to approved, while a time-based trigger can send reminder emails to clients or internal approvers if a proposal remains unsigned.
How do I test and troubleshoot a workflow trigger that isn't firing?
First, review the trigger configuration and conditions to ensure they match the record values. Use the preview or test features in the workflow editor (if available) to simulate triggering events. Check user permissions, confirm that the workflow is enabled, and look at any system logs or run history for errors. If a trigger should call external integrations, verify the integration status and credentials. If problems persist, export the run details and contact QuoteCloud support for assistance.
Can workflow triggers integrate with QuickBooks Online or other systems?
Yes. QuoteCloud supports integrations (such as QuickBooks Online) so workflows can trigger actions that sync data, create invoices, or update accounting records. Use triggers to automate handoffs between your quote software and accounting systems—for example automatically generating an invoice in QuickBooks when a proposal is accepted—reducing manual entry and improving accuracy.
