FAQs
What is the purpose of the "Assigning a recipient to e-signature" user guide page?
This guide explains how to link a recipient (signer) to an e-signature placeholder in the QuoteCloud Document Editor so signature requests, notifications, and signer metadata are routed to the correct person and the signature event is recorded against the intended contact.
Who should read this page?
Document authors, administrators, and anyone who creates or sends documents for electronic signature using QuoteCloud should read this page. It is especially useful for users who prepare contracts, configure templates, or manage signing workflows in sales quoting software or sales proposal software environments.
What prerequisites are required before assigning a recipient?
You must have access to the QuoteCloud Document Editor and permission to edit content blocks and send documents for signature. Also have the recipient's contact details (at minimum a valid email address) ready so you can accurately assign them to the signature field.
How does assigning a recipient affect the signing process?
Assigning a recipient ties a specific person or contact to a signature placeholder so QuoteCloud sends the signing request, reminders, and status updates to the correct email address. Proper assignment ensures the signature is attributed to the right signer and that notifications, audit trails, and signer metadata reflect the intended recipient.
How do I assign a recipient to an e-signature field in the Document Editor?
Open the document in the QuoteCloud Document Editor, select the e-signature content block or signature placeholder, choose a recipient from your contact list or add a new contact with a valid email address, confirm the selection, save the content block, and preview the document to verify the signer information. This process is the same whether you're creating proposals, quote software templates, or other proposal software documents.
What should I do if I can’t find the recipient or they don’t receive the signing email?
If you can’t find the recipient in your contacts, add them with a valid email address and reassign the signature field. If the signer doesn’t receive the email, confirm the email address is correct, ask them to check spam folders, and resend the signing request. If issues persist, verify you have permission to send e-signatures and contact QuoteCloud support for help.
Can I change the assigned recipient after the document has been sent for signature?
Typically you cannot reassign a recipient after a document has been sent because the audit trail and signature flow are preserved for legal and compliance reasons. To change the signer, void or cancel the current request and create a new document or send a corrected version with the correct recipient assigned. Check your organisation’s policies and QuoteCloud settings for any available exceptions.
What are best practices for assigning recipients and managing signer metadata?
Use the signer’s full legal name and a unique, monitored email address, label signature fields clearly, and set signer order for multi-party signatures. Save common signer roles in templates to speed up workflows in your quote software or sales proposal software. Regularly review contact information before sending to reduce delays and ensure accurate audit records.
