FAQs
What does "Proceed with the approved or rejected document" mean in QuoteCloud?
"Proceed with the approved or rejected document" describes the post-decision actions you take after an approval step completes. These actions advance the document into its next workflow state — for example, finalize a signed sales proposal, archive a completed quote, return a rejected document for revision, or trigger any configured workflow follow-ups.
This step is part of QuoteCloud’s document lifecycle and applies whether you use the platform as sales quoting software, sales proposal software, quote software or proposal software.
When should I use the proceed options for an approved or rejected document?
Use the proceed options after a document’s approval step is finished and you need to move it forward. Common scenarios include finalizing an approved quote or proposal, archiving a completed document, returning a rejected document for edits, or executing automated follow-ups defined in your workflow.
Proceed actions help ensure your sales quoting and proposal workflows continue without manual gaps.
Who can perform the proceed action on a document in QuoteCloud?
Proceed actions are available to users who have the appropriate workflow permissions or roles. Typically these are approvers, workflow administrators, or other custom roles that your organization assigns the necessary rights to.
If you can’t perform a proceed action, verify your role and permissions or contact your QuoteCloud administrator to request access.
I don’t see the proceed controls — what should I check?
First verify your account role and workflow permissions, since proceed actions are restricted to authorized users. Next, confirm the document has reached an approved or rejected state — proceed controls only appear after a decision has been made. Finally, check with your QuoteCloud admin to review role settings and workflow configuration if the controls are still missing.
Where are the proceed controls located in the QuoteCloud interface?
Proceed controls appear on the document’s workflow or approval screen once the document is approved or rejected. Look for the action buttons in the same view where approvals and decision details are shown.
How do I proceed with an approved or rejected document — step by step?
1) Open the document and confirm it shows an approved or rejected decision. 2) Navigate to the document’s workflow or approval screen. 3) Select the proceed action you need (e.g., Finalize, Archive, Send back for revision, Run follow-up). 4) Confirm the action and let the workflow execute any automated steps.
These actions help keep your sales quoting software and proposal software workflows consistent and auditable.
What happens after I select a proceed action?
Selecting a proceed action moves the document into the next workflow state and executes any linked outcomes: finalizing the document, archiving it, sending it back for revision, generating notifications, or triggering downstream automations you’ve configured.
Depending on your setup, proceed actions can also kick off integrations (for example, creating invoices in accounting systems) so your quote software and proposal software processes remain connected end-to-end.
Can proceed actions trigger automations or integrations with other systems?
Yes. Proceed actions can trigger configured workflow follow-ups and third-party integrations. For example, you can automate post-approval tasks such as generating invoices, syncing records to your accounting system, or launching customer notifications — making QuoteCloud a centralized tool within your sales quoting and sales proposal software stack.
If you plan to use integrations, confirm they are enabled in your workspace and tested with your QuoteCloud administrator.
