Select a Text Block
Click into the Text Block where you want to insert a data item. Place the cursor at the exact location where the data item should appear.Open Data Items

Select the text block in the editor, place your cursor where you want the dynamic content to appear, then use the editor’s insert-data functionality to choose the data item you need. The editor will insert a token/placeholder into the text block.
When the document is rendered or previewed, that token is populated from the document’s data sources so you can produce personalized quotes and proposals quickly with your quote software or proposal software.
Will inserted data items update automatically if the underlying data changes?
Yes. Inserted data item tokens pull values from the document’s data sources and update automatically. Changes to the underlying data (for example, a different customer name or updated product details) will be reflected the next time the document is rendered or previewed.
Can I format data item tokens (font, size, color) inside a text block?
Yes. Once a data item token is inserted in a text block you can use the Text Editor’s formatting toolbar to style the surrounding text and the token itself — for example, change font weight, size, color, or alignment — to keep quotes and proposals looking professional and on-brand.
What happens if a data item has no value set for the document?
If a data item is empty, the token will typically render as blank in the final document or follow any fallback/default behavior configured in your document settings. To avoid gaps in important sales documents, consider setting default values or adding explanatory fallback text within your template.
